Company Announcement Templates

 Template Description
Email announcement to company First announcement of company's plan to switch email and calendar platform to Google Apps.

Contains a link to the "Intranet announcement," which has more details.
Intranet announcement to company Information about company's plans to switch to Google Apps, to be posted on the company's intranet. 

Describes the various Google Apps services and their benefits. 

Includes FAQs about the switch.


Email Notifications Templates

 Template Description
Email 1: First notification - data migration

Email 1: First notification - no data migration
Notification to users that their accounts will be migrated to Google Apps.

Use the "data migration" template if users' email/calendar/contacts will be migrated to their Google Apps accounts.

Recommendation: Send about two weeks before the migration.
Email 2: Reminder - data migration

Email 2: Reminder - no data migration
General reminder about account migration. 

Can be sent multiple times.

Use the "data migration" template if users' email/calendar/contacts will be migrated to their Google Apps accounts.

Recommendation: Send about one week before the migration.
Email 3: Reminder with preparation - data migration

Email 3: Reminder with preparation - no data migration
Reminder about account migration. 

Includes steps to take to prepare for the migration.

Use the "data migration" template if users' email/calendar/contacts will be migrated to their Google Apps accounts.

Recommendation: Send about two days before the migration.
Email 4: Final reminder - data migration

Email 4: Final reminder - no data migration
Final reminder about account migration. 

Includes instructions to print documentation.

Use the "data migration" template if users' email/calendar/contacts will be migrated to their Google Apps accounts.

Recommendation: Send about on the day of the migration, perhaps 1 or 2 hours before migration begins.
Email 5: Welcome message for migrated users Welcomes the user to his or her new Google Apps account.

Includes information about what to do first and where to get help.

Recommendation: Send right after the migration, so this message appears near the top of their new Google Mail Inbox.
New user welcome message Welcomes new employees to their Google Apps accounts.

Intended for users who did not migrate from another email/calendar platform.

Recommendation: Send right after new account is created.
Training announcement Announces schedule for live, online training (webinars).
